1. Approach to Protecting Personal Information
We at Regolith, Inc. (Hereon to be referred to as, the ”Company”), believe that the proper handling personal information is a key responsibility held by the Company. We have stated our approach to the protection of personal information in the Company’s, ”Privacy Policy”. Based on this we have established rules within the Company, and in addition to acting in accordance with these rules, we strive to ensure that they are upheld throughout the Company. This is the principle of our philosophy.
2. Policy for Protection of Personal Information
We believe that adequately protecting personal information is our social responsibility, and promote the following initiatives.
  • In addition to implementing an educational program for employees, by assigning a person responsible for the management, we will strive to appropriately manage personal information.
  • By taking all necessary and appropriate security measures, we strive to maintain the security of personal data and prevent loss, damage, or disclosure of personal data handled by the Company.
  • With the exception of having advance consent or legal right, we will only use personal information for purposes disclosed or clear from the circumstances of the acquisition.
  • Without advance consent, or in the case that it is allowed by law, personal information will not be disclosed to a third party other than the succession of related operations of our business and our contractors.
  • When providing personal data to third parties dealing with the Company, unless under special circumstances, by contract they will be obligated to prevent leakage or distribution of that information.
  • If you would like to confirm or revise the personal data held we will exercise reasonable diligence to facilitate.
  • Whilst remaining in compliance with the laws and regulations of Japan and other pertinent standards for the protection of personal information, including this policy, we will continue to review the contents of the compliance program and strive to improve upon it.
3. Regarding Disclosure of Purpose of Use of Personal Information
We announce the following purposes of utilization acquired by the Company.
Types of Purposes of Utilization of Personal Information

1. Personal Information about Customers

  • Event information, providing information and advertising about goods and services, promotional offers and proposals about goods and services, and to provide contact information for sales and service etc.
  • Research and analysis for the development of better products and services
  • To provide maintenance and support
  • Contact with customers, cooperation, negotiations, fulfillment of the contract, observance of a contract request with a business partner, act as an intermediary with suppliers such as for performance of duties or mediation.
We may provide this information to the extent necessary for the purposes listed above, to our affiliate companies, sales outlets, and business partners.

2. Personal information about every one of our business partners

  • Personal information may be provided to the Company’s affiliate companies, sales outlets, and business partners, within the scope necessary for the purposes listed as follows; contact with suppliers, cooperation, negotiation, and fulfillment of contract or observance of a contract request.

3. Personal information held about those applying to join our company

  • For the purpose of contacting, providing information, and notification of hire.
In addition, when notifying or disclosing for a specific purpose of utilization, it will be for that purpose of utilization.
4. Regarding “Retained Personal Data”

1. With respect to "retained personal data" on the following matters, the Company will require this information in the situations listed below.

    To the extent necessary for the purposes listed above, we may provide information to our affiliates, resellers, and business partners.

    • Personal information may be provided to the Company’s affiliate companies, sales outlets, and business partners, within the scope necessary for the purposes listed as follows; contact with suppliers, cooperation, negotiation, and fulfillment of contract or observance of a contract request.
  • Personal information held about those applying to join our company
    • For the purpose of contacting, providing information, and notification of hire.
  • In addition to the above, personal data held about everyone who has made inquiries to our company
    • Contacts, correspondence management, related materials sent etc.

It should be noted that the “purpose of utilization” for the above is filed typologically according to the intended purpose of use of the pertinent personal information.

5. Matters Concerning the Procedures for Responding to ”Requests for Disclosure”

For matters relating to the our Company’s procedures for "Requests for Disclosure," the person for whom we have “Retained Personal Data” or their representative can make a request for the disclosure, deletion, correction, or suspension of use by following the procedures listed as follows.

(Method of requests for disclosure) (Format of required documents,
Method of confirmation for principal or agent)
When filing a request for disclosure etc., send a request by e-mail to the Company for the following application form, fill out all of the designated fields, and documents for personal identification (2) enclosed and sent to the above address.
We will also accept requests for disclosure from an agent, in addition to the principal. If the request is to be made by an agent, in addition to the documents below listed in, “1” and “2,” please enclose a document certifying the agent as listed in “3” and send to the appropriate section.

1.) Application Form Specified by the Company
- Request for disclosure of held personal data
- Request for notification of the purpose of utilization of held personal data
- Request for correction, addition, or deletion of held personal data
- Request for cease of usage or deletion of held personal data, or if a request is initially made on the application form not to share specific held personal data with third parties we will facilitate not sharing the data specified.

2.) Documents for Personal Identification

(a) In the case of an individual requesting disclosure
(One copy of each of the items below is required)
As stated in the application for disclosure, etc.
A copy of one of the identification listed below stating the same name and address as the person seeking disclosure is required:
A driver’s license, passport, health insurance card, foreign resident registration card, Basic Resident Register, (please black out domicile of origin before sending)

One of either; a transcript of Certificate of Residence (photocopies not accepted), or a transcript of a Foreign Resident Registration Ledger (photocopies not accepted)

(a) In the case of an individual within a company or other organization requesting disclosure
• One copy of either the certificate of employment, or certificate of enrollment is required.

3. Documents for confirmation of agent

(a) If the request is made by the parent or legal guardian of an adult
- Documents and certificates to prove their qualification are required such as; family register, extract of family register, certificate issued by the family court, or other proof of credentials such as a certificate of registration, etc.
One of the following are required:
(The document must be generated within 30 days prior to the day of the request for disclosure, etc.)

- Personal identification for parent or legal guardian of an adult (refer above section, 2.a).

(b) In the case of an agent delegated by the principal
• Through an authorization of agent (sign and seal of applicant) 1 each
• One copy of the certificate of personal seal with the imprint of the same seal pressed on the letter of authorization of agent
• Documents to verify the agent (refer above section, 2.a). (If the submitted documents are incomplete or contain unclear points they will not be accepted. We will contact the sender but if they are not submitted within the prescribed period the request for disclosure etc. will not be recognized and the documents will be returned.

Postage costs and procedure for collection of postage for “Requests for Disclosure” and “Disclosure of Purpose of Use of Personal Information” applications.

When submitting “Requests for Disclosure” or “Disclosure of Purpose of Use of Personal Information,” please enclose return postage stamps for the amounts listed below.

The reply will be sent by registered mail.
-Each application will require a ¥540 postage stamp.
Please enclose a ¥540 postage stamp with the documents.

If the enclosed postage stamp is insufficient, or if the return postage stamp is not enclosed, we will notify you. If the postage is not paid within the prescribed period for submission, the request for disclosure etc will not be recognized and the documents will be returned.

Depending on the contents of the request for disclosure, there may be a service charge. In this case a quote will be sent in advance.
Further information about requests for disclosure
We may not be able to facilitate the request for disclosure if it does not apply to the Personal Information Protection Act, or if there are deficiencies in the prescribed documents
Personal information obtained for requests for disclosure, will only be to the extent necessary to deal with support of requests for disclosure.

Submitted written requests for disclosure etc cannot be returned.
We will answer requests in writing (within Japan) to the applicant directly (to the agent if applicable) at the address given in the written application.
-It may take some time to respond depending on the content of the inquiry.
-In the case of the request for erasure of held personal data, even if retained personal data is deleted, the written application to have the held personal data deleted, documents for identity verification, copies of communications will be kept on file.
Please note in advance that services based on stored personal data will cease to be available as a result of stopping use of, deleting held personal data, or requesting a stop in sharing personal data with third parties.

6. Regarding Links to Outside Websites

In our website there are links to affiliated companies or third-party websites that have been provided as a convenience to our customers.

Customers accessing these links will be leaving our website.

Please understand that the Company is not involved with the linked website’s content, and is not responsible for how personal information is handled.
